What is a Schedule?

A Schedule is a collection of recurring shifts designed for consistent positions. Creating a Schedule allows businesses to have a static, indefinite schedule for workers. Schedules provide businesses with a reliable, consistent workforce over an extended period, ensuring regular coverage and streamlined operations. When workers sign up for a schedule, they commit to attending all the shifts outlined in that plan.

Here are examples of situations where setting up a Schedule is useful:

  • You want to set up recurring shifts that happens on specific days

  • You want to set up recurring shifts where the team alternates every other day

  • You want to set up several roles with the same shift start and end time and recurring pattern.

Example schedule:

  • The schedule shown below follows a bi-weekly recurring pattern.

  • Each shift includes 3 Forklift Operators and 8 Warehouse Associates.

  • In Week A, the shifts occur on Monday, Wednesday, and Friday, while in Week B, they take place on Tuesday and Thursday.

  • All shifts have a consistent start time of 9 AM and end time of 5 PM, and this 2-week pattern reoccurs over and over again.

How do I create a Schedule?

  • When you go to the shift booking flow, you’ll be asked what type of shift you’d like to select. Select “Schedule”

  • Name your schedule, fill in all the relevant details, including roles and assigned workers, then review and confirm everything. Once confirmed, your schedule will be created!

How do I manage the workers on my Schedules?

The Schedule details page gives you the flexibility to make changes as you go.

  • Schedule Invitations:

    • In this tab, you can invite workers that you would like to add to the Schedule.

    • When you invite a worker to a Schedule, the worker receives invites to all the shifts that are part of their respective role in the Schedule.

  • Worker Management and Weekly Worker Schedule:

    • These two tabs provide views of the workers in the schedule and the replacement workers.

    • Scheduled workers are workers that are invited to the entire schedule.

    • Replacement workers are workers that are invited to specific shifts in the schedule as replacements.

How do I make changes to my Schedules?

  • If you need to add an extra shift or a new role to your schedule, simply use the "Add to Schedule" option.

    • To modify schedule details, the "Edit Schedule" feature allows you to update roles, workers, pay rate, shift supervisors and other relevant shift details.

    • For adjustments to a specific day, you can modify the start and end times of individual shifts directly in the shift list.

  • If the schedule is no longer needed, you can cancel it by selecting "Cancel Schedule" from the schedule details page. You can also choose the specific date for the cancellation to take effect, allowing you to plan the cancellation in advance if needed.

How do I manage a single day shift?

The day view allows you to take any necessary actions and access important information for shifts on a specific day within the schedule.

By navigating to the shift details from the Schedule details page for a particular day, you can find key information such as clock-in/out codes, shift start and end times, and the list of workers assigned to that day. You can also send shift invitations, communicate announcements to workers on the shift, view and share shift details, and make edits to the shift directly from this page.
